How We Ensure an Exceptional Stay
The following terms and conditions set forth the guidelines that we collaboratively agree to when you participate in any of our Complex Trauma Recovery Retreats.
Terms and Conditions
At RYA Wellness, we understand that healing is a personal journey. We offer personalized retreats designed to support your unique needs for self-discovery, relaxation, growth, and healing from Complex Trauma. Each retreat includes a minimum of 50 weeks of virtual program continuation and aftercare. To ensure a safe and supportive environment for all, we kindly request that individuals experiencing symptoms of a communicable illness refrain from attending. Refunds due to illness will be considered on a case-by-case basis at the discretion of RYA Wellness.
Individual Retreat Bookings
Deposits: A non-refundable deposit of 50% of the total retreat fee is required to secure your reservation. For program attendance, the full workshop fee is required as the deposit.
Final Payment: The remaining balance is due upon arrival at the retreat.
Guest Cancellations:
Cancellations made at least 10 days prior to your retreat start date will receive a credit voucher for the deposit amount (less a $25 processing fee).
Cancellations made between 5 and 10 days prior to your retreat start date will receive a credit voucher for 75% of the deposit amount.
Cancellations made within 5 days of your retreat start date will result in forfeiture of all payments.
Credit vouchers are valid for one year from the date of issue.
RYA Wellness Cancellations: If RYA Wellness cancels a program (due to unforeseen circumstances, including but not limited to public health directives), you will receive a full refund within two weeks of the cancellation announcement. Alternatively, you may choose to apply your deposit as a credit towards a future program.
Group Retreat Bookings
Provisional Holds: RYA Wellness offers provisional holds for group bookings, allowing you temporary reservation of retreat dates. A formal quote/agreement outlining deposit requirements, dates, venue, and room block will be provided. If another party expresses interest in the same dates, you will have 3 business days to confirm your booking with a 25% deposit. Failure to do so will release the hold.
Deposits: A 25% non-refundable deposit is required at the time of booking confirmation. An additional 25% non-refundable deposit is required at least 45 days prior to the retreat start date.
Final Payment: The remaining balance is due upon arrival at the retreat.
Donations: Donations made during registration are non-refundable and will be processed with a charitable receipt issued, unless otherwise requested.
Group Cancellations:
Cancellations within 90 days of the scheduled retreat start date will result in forfeiture of all deposits.
Cancellations made prior to 90 days of the scheduled retreat start date may be eligible for a refund of deposits paid, less a $100 processing fee, subject to the following conditions:
If multiple venues and/or multiple days have been reserved and cannot be re-booked, a refund may be withheld.
If public health restrictions prevent the retreat from taking place, a refund will be issued, less a $100 processing fee.
If your group is experiencing low registration numbers as the 90-day mark approaches, please contact us to discuss options.
RYA Wellness Cancellations: If RYA Wellness must cancel a group retreat (due to unforeseen circumstances, including but not limited to public health directives), all deposits will be refunded in full, or may be applied to a future booking.
Participant Reduction (Attrition):
If the number of participants in your group reduces between 30 and 10 days prior to the retreat start date, a 50% refund will be issued for each cancelled participant, in the form of a credit voucher valid for one year.
No refunds will be issued for participant reductions within 10 days of the retreat start date.
General Policies
Alcohol and Substances: No alcohol consumption is permitted on the premises. RYA Wellness reserves the right to request that any individual exhibiting abusive behaviour due to alcohol or substance consumption leave the retreat.
Service Animals: Certified service animals are welcome, provided they are well-behaved, leashed, and do not pose a threat to others. Handlers must provide proof of certification, ensure the animal's well-being (food, water, clean-up), and not leave the animal unattended for excessive periods. RYA Wellness strives to accommodate service animals while also considering the needs and rights of other guests.
Smoke-Free Environment: Smoking, including vaping, is strictly prohibited on the property. Designated smoking areas are available off-site. Please dispose of smoking materials responsibly, particularly given the surrounding forest environment.
Open Flames: Open flames for ceremonial purposes are permitted only with prior written approval from RYA Wellness. A signed waiver outlining the details of the open flame use, including time and responsible parties, is required. Attended candles must be in appropriate containers. Smudging requires a container for ashes. Users are responsible for any damages caused by open flames.
Property Damage: A $250 cleaning fee will be charged for any evidence of food spills, smoking, or pets in guest rooms.
